These terms govern the use of UrkundLabNet services, including document notarisation, secure storage, and support. They describe user obligations, permitted uses, account management and limitations of liability in practical scenarios. By using our services you accept these terms for any transaction with UrkundLabNet.

Eligibility and lawful use

Services are available to individuals and organisations able to form binding contracts under applicable Swiss law. Customers must use the service for lawful purposes and provide accurate information necessary for notarial procedures.

Users must be of legal age to request independent notarial acts in Switzerland or must be represented by an authorised guardian or legal representative when applicable.

You must not use our services to carry out illegal activities, impersonate others, or submit forged documents. Practical examples: submitting altered identity documents or forged powers of attorney is prohibited and may be reported to authorities.

Some services may be restricted by national or international law. If a requested notarial action is not available for cross-border transactions, we will explain the limitation and propose alternative steps where possible.

Account terms

Account holders are responsible for maintaining accurate account information and for all actions taken under their account. Use of shared credentials is discouraged; for organisations we provide role-based access options.

Provide accurate and complete information when creating an account and when submitting documents. Example: inaccuracies in a corporate representative's details can delay a notarisation and may require re-execution of documents.

Protect your account credentials and enable available security features such as two-factor authentication. Notify UrkundLabNet immediately if you suspect unauthorised access so we can act to protect records.

Accounts and associated credentials are personal and non-transferable unless explicitly agreed in writing by UrkundLabNet for organisational accounts.

If you believe your account has been compromised, contact support immediately with relevant identifiers and we will follow incident response procedures to secure the account and advise on next steps.

UrkundLabNet may suspend accounts for security reasons, legal compliance, or if misuse is suspected. In case of suspension we will provide a rationale and procedure for remediation where lawful and practicable.

Service overview

UrkundLabNet provides document notarisation, digital witnessing, certified copies and secure document storage. Practical case descriptions are available in help materials to illustrate common workflows such as property transfer, power of attorney execution, and company formation notarisation.

We may modify services, add features, or discontinue offerings. For example, an existing manual in-office witnessing option may be supplemented by a certified electronic witnessing workflow with notice to affected clients.

We strive for high availability but background maintenance, legal holidays, or third-party outages may affect service. For example, identity verification vendors may be unavailable on some bank holidays, affecting turnaround times.

User rules and acceptable use

Users must follow conduct and content rules to maintain a secure, reliable service. The items below illustrate prohibited and expected behaviour in real-world scenarios.

  • Do not submit forged, altered, or fraudulent documents; where detected, records may be flagged and authorities notified.
  • Do not attempt to bypass identity verification systems or tamper with audit trails; such actions will lead to suspension and possible legal action.
  • Respect copyrights and third-party rights when uploading supporting materials for notarisation.
  • Use clear and accurate descriptions when initiating a notarial act to avoid processing delays.
  • Collaborate honestly with UrkundLabNet staff during verification steps, for example by providing requested supplementary ID promptly.
  • Do not use the platform for mass unsolicited communications or commercial spam.
  • Follow any additional procedural instructions provided for special notarial workflows, such as apostille requests or foreign-language document handling.

User content

User content includes documents, uploaded files, messages and any material provided to UrkundLabNet for processing. We describe ownership, license and responsibilities below with practical examples.

You retain ownership of the documents you submit, subject to third-party rights. For instance, if a business submits corporate minutes, the business retains ownership while UrkundLabNet processes the file.

By submitting content you grant UrkundLabNet a limited license to process, store, and make necessary disclosures to complete notarial services. This includes sharing with designated third-party verifiers under confidentiality controls.

You are responsible for the legality and accuracy of submitted content. Example: if a submitted deed contains an incorrect parcel number, corrective steps will be required and additional fees may apply.

Removal requests for non-finalised drafts will be considered in line with retention policies and legal obligations. Executed notarial records may be retained to meet statutory requirements.

Intellectual property

UrkundLabNet and its licensors retain all intellectual property rights in the platform, service materials and activity. Users may not copy, modify or distribute our proprietary materials except as expressly permitted.

  • Do not reverse-engineer or attempt to reproduce platform features.
  • Do not use UrkundLabNet branding or logos without written permission.
  • Do not compile content from the service into competing products or services.

Paid services

Certain UrkundLabNet services carry fees such as expedited notarisation, certified electronic witnessing, or extended secure storage. Pricing and scope are set out in service schedules and order confirmations.

Pricing is provided in Swiss francs (CHF) and includes any specified service fees. Examples: flat fee for certified copy requests or hourly fees for complex verification where noted on the order page.

Payments are processed through secure payment providers. Payment terms, accepted methods, and invoicing details are provided at checkout. Incomplete payment may delay processing.

Subscription offerings, if any, will be described with billing intervals and termination rights. Subscribers are responsible for timely payment and may cancel according to the stated cancellation process.

Refunds for paid services are handled on a case-by-case basis depending on the service stage and any costs already incurred. An example: fees for identity checks already completed may be non-refundable if they cannot be reversed.

You may cancel pending requests before processing begins; cancellation terms differ by service and are specified in the order confirmation. For instance, a scheduled in-person witnessing can be rescheduled or cancelled within the timeframe stated at booking.

Applicable taxes, duties or charges will be added where required by law and will be displayed on invoices and receipts.

We may adjust prices for new orders. Existing orders confirmed at a given price are processed under the terms applicable at the time of confirmation.

Failure to pay may result in suspension of access to paid features and withholding of documents until business obligations are settled.

Limitation of liability

To the extent permitted by law, UrkundLabNet's liability for direct losses arising from service use is limited to amounts paid for the specific service. We are not liable for indirect, special or consequential losses such as lost business opportunities. Practical case: delay caused by a third-party verifier may limit our liability to the direct fee for the affected service.

Third-party services

We may rely on third parties for identity checks, translation, storage and payment processing. When engaging a third party we aim to select reputable providers and manage data flows, but you should be aware that those parties have separate terms and processing practices.

Termination and suspension

Either party may terminate a contractual relationship according to the terms specified in the order or subscription. UrkundLabNet may suspend services for breach, legal reasons, or suspected misuse. Termination does not eliminate obligations accrued prior to termination.

Upon termination we will retain executed notarial records as required by law and provide instructions for retrieving other content where feasible. Example: a client terminating a storage subscription will receive export instructions for their files.

Privacy

Handling of personal data is described in our privacy policy. Practical scenarios and examples explain how data is collected for identification, retained for record-keeping, and shared with verification partners for specific service purposes.

Communications

We communicate service updates, confirmations and action requests by email, SMS or phone. Clients should maintain up-to-date contact information and choose their preferred channels. Example: appointment confirmations for in-person witnessing are sent by email with an optional SMS reminder.

Changes to these terms

We may update terms to reflect legal, operational or technical changes. Material changes will be announced on UrkundLabNet.pro with the effective date. For existing contractual arrangements the applicable change mechanism in the order will apply.

Governing law

These terms are governed by Swiss law. Any disputes arising out of use of UrkundLabNet services are subject to Swiss jurisdiction unless otherwise agreed in writing.

Dispute resolution

We encourage users to contact our support team to attempt an amicable resolution. If a resolution cannot be reached, disputes may be referred to competent courts in Switzerland or to alternative dispute resolution mechanisms where agreed.
